Flight Delays, Cancellations and Missed Connections: What Travelers Should Do

Flight disruptions are one of the most stressful parts of air travel. A short delay may simply mean spending another hour at the gate, but a major cancellation or missed connection can affect hotel reservations, airport transfers, tours, cruises, business meetings and even the rest of an international itinerary.

The good news is that travelers often have more options than they realize. Depending on where you are flying, the airline involved, the reason for the disruption and whether your flights were booked together, you may be entitled to rebooking, rerouting, a refund, meals, accommodation, transportation or financial compensation.

This guide explains what to do when a flight is delayed or cancelled, how airlines normally handle missed connections, the difference between airline responsibility and passenger responsibility, how EU passenger rights work, when travel insurance can help and what practical steps you should take at the airport.

Last reviewed: August 2026. Passenger-rights laws and airline policies can change, so always verify the rules applicable to your specific journey before making a claim.

Quick Guide: What to Do When Your Flight Is Disrupted

If your flight suddenly shows a long delay or cancellation, try not to immediately buy another ticket. First determine what the airline is offering.

1. Check the airline's official app, website, email and text notifications.
2. Take a screenshot of the delay or cancellation notification.
3. Check whether the airline has automatically rebooked you.
4. If you have a connection, check whether the new itinerary still works.
5. Contact the airline through the app, customer-service desk or telephone.
6. Ask specifically about rebooking, meals, hotel accommodation and transportation if applicable.
7. Do not cancel the ticket yourself until you understand whether doing so could affect your rights.
8. Keep boarding passes, booking confirmations and baggage receipts.
9. Keep receipts for reasonable expenses caused by the disruption.
10. Record your actual arrival time at your final destination.

What to Do When a Flight Is Delayed

A delay does not necessarily mean that the flight will eventually be cancelled. Airlines may be waiting for an aircraft, crew, maintenance clearance, weather improvement, an available departure slot or permission from air traffic control.

Your first priority should therefore be monitoring the flight rather than leaving the airport.

Check the airline app immediately

Airline apps are often faster than airport information screens. A good airline app may show:

• Updated departure time
• Gate changes
• Aircraft changes
• Automatic rebooking options
• Alternative flights
• Meal or hotel vouchers
• Baggage information

Enable push notifications before traveling and make sure the airline has your correct mobile number and email address.

Stay close enough to reach the gate

A delayed departure time can sometimes change again. Never assume that a two-hour delay means you can safely leave the airport for two hours.

Continue checking the official departure board and airline notifications. You are still responsible for being available when boarding begins.

If you have a connecting flight, act early

If your first flight is delayed and your connection is becoming impossible, check alternative flights before landing if Wi-Fi is available.

The airline may already have rebooked you automatically. If not, knowing which later flights are available can make the conversation with airline staff much easier.

What Happens When Your Flight Is Cancelled?

When an airline cancels a flight, passengers will normally be offered some form of alternative arrangement. Depending on the law covering the flight and the airline's conditions, this can include:

• Rebooking on the next available flight
• Rerouting through another airport
• A flight on another airline in some circumstances
• Travel on a later date
• A refund if you decide not to travel

Do not automatically accept the first option shown in the airline app if it creates a serious problem for your trip. Check whether another reasonable routing is available and contact the airline.

For example, if your Milan-to-Frankfurt-to-Tokyo itinerary is cancelled and the airline automatically rebooks you two days later, there may be another route through Munich, Paris or another hub that gets you to Tokyo much sooner.

Rebooking, Rerouting and Refunds: What Is the Difference?

Rebooking

Rebooking usually means moving your reservation onto another flight, often operated by the same airline or airline group.

Rerouting

Rerouting means finding another way to reach your final destination. It might involve a different connecting airport, different flight numbers or, where permitted and practical, another carrier.

Refund

A refund means receiving your money back instead of continuing the affected journey.

This distinction is important: accepting a refund can end the airline's obligation to transport you under that ticket. If you still need to reach the destination, check the cost of replacement flights before choosing the refund option.

What to Do If You Miss a Connecting Flight

How a missed connection is handled depends heavily on one question:

Were all the flights issued as part of the same reservation, or did you buy separate tickets?

Missed connection on one reservation

If your flights are on the same reservation and the first flight is delayed enough to make the connection impossible, the airline will generally need to arrange an alternative way for you to continue to your ticketed destination, subject to the passenger-rights regime applicable to the journey.

For example:

Rome → Doha → Colombo

If both flights belong to the same reservation and the Rome-to-Doha flight arrives too late for the Colombo connection, you should contact the airline or transfer desk. You may be placed on the next available flight to Colombo.

Depending on the jurisdiction and length of the wait, meals or overnight accommodation may also be provided.

Missed connection with separate tickets

Separate tickets are much riskier.

Imagine you booked:

Milan → London with Airline A

and separately:

London → New York with Airline B.

If Airline A arrives late and you miss Airline B, Airline B may consider you a no-show. It normally does not become responsible simply because another airline delivered you late.

You may have to buy another ticket unless:

• the second airline voluntarily helps you;
• your booking platform provided a connection guarantee;
• your travel insurance covers missed connections; or
• another applicable consumer-protection rule provides assistance.

This is why very short self-transfer connections can be risky even when the ticket price looks attractive.

Airline Responsibility vs Passenger Responsibility

Not every missed flight is the airline's responsibility.

Situations that may be connected to airline responsibility

• Aircraft technical or operational problems
• Crew scheduling problems
• Cancellation by the airline
• A delayed incoming aircraft
• Some maintenance problems
• A missed protected connection caused by an earlier flight delay

Situations usually connected to passenger responsibility

• Arriving late for check-in
• Arriving late at the boarding gate
• Not allowing sufficient time for airport procedures
• Missing a connection because you stopped shopping or eating
• Having incorrect travel documents
• Visa or passport problems
• Failing to follow boarding instructions
• Missing a separately booked onward flight because the self-transfer was too short

If the problem is within your control, passenger-rights laws generally provide significantly less protection.

Meals, Hotels and Transportation During Flight Disruptions

Do not assume that every delay automatically gives you a free hotel or meal.

Eligibility depends on the applicable law, the length of the delay, the cause of the disruption and sometimes the airline's own customer-service policy.

When assistance applies, it may include:

• Meal vouchers
• Refreshments
• Hotel accommodation
• Transportation between the airport and hotel
• Communication facilities

Ask before paying for an expensive hotel yourself

If airline accommodation is supposed to be provided, first ask airline staff where you should stay and whether a voucher is available.

If the airline fails to provide assistance and you need to arrange it yourself, choose something reasonable rather than luxury accommodation unless there is genuinely no reasonable alternative.

Keep every receipt.

EU Passenger Rights Under Regulation EC 261/2004

Travelers flying in Europe benefit from one of the world's most established passenger-protection systems.

Under the rules currently applicable in August 2026, EU air-passenger protections generally cover:

• Flights within the EU, regardless of whether the operating airline is EU or non-EU
• Flights departing from the EU to a non-EU country, regardless of the operating airline
• Flights arriving in the EU from outside the EU when operated by an EU airline

The framework also applies to relevant flights involving Iceland, Norway and Switzerland.

EU261 assistance during a departure delay

When the right to care applies, assistance can include reasonable meals and refreshments and communication facilities.

If an overnight stay becomes necessary, accommodation and transportation between the airport and accommodation may also be required.

What if the delay reaches five hours?

For a departure delay of at least five hours, EU rules can give passengers the option of reimbursement if they decide the journey no longer serves its original purpose.

Where relevant, this can also include transportation back to the original departure point for a connecting journey.

EU261 Compensation for Long Delays

Financial compensation is different from meals, accommodation and rebooking.

Under the currently applicable framework, passengers who reach their final destination at least three hours late may qualify for compensation when the legal requirements are satisfied and the disruption was not caused by extraordinary circumstances.

For certain long-haul journeys over 3,500 km, compensation can be reduced to €300 when the final arrival delay is at least three hours but less than four hours.

Eligibility depends on the actual circumstances, so the amount should not be assumed simply from the length of the delay.

EU261 Rights When a Flight Is Cancelled

For a qualifying cancellation, passengers are generally entitled to choose between options such as:

• Reimbursement of the ticket;
• Rerouting to the final destination at the earliest opportunity; or
• Rerouting at a later date under comparable transport conditions, subject to availability.

Financial compensation may also apply when the passenger receives sufficiently short notice of the cancellation.

However, compensation is generally not due when:

• the passenger was informed at least 14 days in advance;
• the passenger received appropriate alternative transportation within the time limits specified by EU rules; or
• the airline proves that extraordinary circumstances caused the cancellation and could not have been avoided despite reasonable measures.

What Are Extraordinary Circumstances?

Extraordinary circumstances are important because they can remove the airline's obligation to pay EU261 financial compensation.

Examples may include:

• Severe weather
• Air traffic management decisions
• Political instability
• Serious security risks
• Certain external strikes

However, the phrase should not be interpreted as meaning that every technical or operational problem automatically removes compensation rights.

Under current EU guidance, most technical problems discovered during normal maintenance and internal strikes involving airline staff are generally not automatically treated as extraordinary circumstances.

The airline must be able to establish that qualifying extraordinary circumstances caused the disruption and that the disruption could not have been avoided even if reasonable measures had been taken.

Important: Extraordinary Circumstances Do Not Automatically Remove Every Right

This is one of the most common misunderstandings among travelers.

Imagine your flight is cancelled because a major storm closes the airport.

You may not qualify for EU261 financial compensation because the weather could qualify as an extraordinary circumstance.

However, that does not automatically mean the airline can simply abandon you.

Rights relating to care, rerouting or reimbursement may still apply.

Always distinguish between:

• Compensation — money paid because of the disruption under passenger-rights rules;
• Care — meals, refreshments, hotel accommodation or transportation where required;
• Rerouting — getting you to your destination;
• Refund — returning the ticket cost when applicable.

EU261 and Missed Connections

Missed connections receive particularly important protection when the flights were booked together.

If your flights are part of a single reservation, EU passenger-rights rules apply and a disruption causes you to reach the final destination more than three hours late, financial compensation may be available when the legal conditions are met and the delay was not caused by extraordinary circumstances.

The critical concept is the final destination.

For example:

Paris → Dubai → Colombo

If the Paris-to-Dubai flight is delayed by two hours and you miss the connection to Colombo, you might eventually arrive in Colombo six hours late.

The relevant disruption for a protected connecting journey can therefore be the delay at the final ticketed destination rather than simply the delay of the first aircraft.

By contrast, compensation may not apply when you miss a connection because you failed to reach the gate on time or because of delays attributable to passenger-side airport procedures such as security checks.

A 2026 Update to EU Passenger Rights

The European Union adopted revised air-passenger rules in July 2026, including stronger provisions concerning information, rerouting, passenger assistance, connecting journeys and certain vulnerable travelers.

However, travelers should not assume those future rules already apply.

As of August 2026, the existing EU passenger-rights framework remains the practical reference for current journeys. The updated rules are scheduled to become applicable after their formal transition period.

This distinction is especially important when reading news articles discussing new EU passenger rights.

What Happens With Delays Outside the EU?

There is no single worldwide system comparable to EU261. Passenger protections depend on the country involved.

Before claiming compensation, consider:

• Where the flight departed
• Where it arrived
• Which airline operated it
• Where the airline is registered
• The cause of the delay
• The airline's conditions of carriage
• Local passenger-protection laws

United Kingdom

The UK maintains a passenger-rights framework commonly referred to as UK261.

For flights covered by UK rules, airlines may have obligations involving care during significant delays, accommodation for overnight disruptions, refunds for delays exceeding the relevant threshold and possible compensation for sufficiently long arrival delays.

The UK also makes an important distinction between protected connecting itineraries and self-transfer journeys booked separately.

United States

The United States takes a different approach.

Passengers flying to, from or within the United States generally have a right to a refund when the airline cancels the flight or makes a qualifying significant change and the passenger decides not to accept the alternative transportation or other alternative offered.

Current U.S. refund standards treat certain major schedule changes as significant, including substantial changes to departure or arrival times, airport changes, increased connections and some downgrades.

However, U.S. federal rules should not be confused with EU-style automatic cash compensation for ordinary delays.

Meals, hotels and ground transportation can depend on whether the disruption was within the airline's control and on commitments made by the individual airline.

The U.S. Department of Transportation maintains an Airline Cancellation and Delay Dashboard showing participating airlines' customer-service commitments for controllable disruptions.

When Travel Insurance Can Help

Travel insurance can be particularly useful when passenger-rights laws do not cover all of your financial losses.

Depending on the policy, benefits may include:

• Trip delay coverage
• Missed connection coverage
• Additional accommodation
• Meals
• Ground transportation
• Replacement transportation
• Trip interruption
• Prepaid bookings you cannot recover
• Delayed baggage expenses

Coverage is not automatic merely because a flight was delayed. Policies contain specific definitions, minimum waiting periods, maximum benefits and covered reasons.

For example, a policy may cover a weather-related missed connection but not a connection missed because you arrived late at the airport.

Read the policy before traveling and save the insurer's emergency-assistance number on your phone.

Airline Compensation and Travel Insurance Are Not the Same Thing

Travelers sometimes believe they must choose either airline compensation or travel insurance.

In reality, the two systems address different things.

An airline may have legal obligations because of passenger-rights legislation, while an insurer may reimburse separate eligible losses under your policy.

You generally cannot recover the same expense twice. If the airline reimburses your €150 hotel bill, you normally cannot also claim the same €150 from your insurer.

When filing an insurance claim, provide details of anything already reimbursed by the airline.

What Happens to Checked Baggage During a Disruption?

Baggage can become confusing during cancellations and missed connections.

Never assume that your checked suitcase will automatically be returned to the baggage carousel.

If you are rebooked, your bag may:

• Be transferred automatically to the new flight;
• Remain inside the airline's baggage system;
• Require manual retagging;
• Be delivered on a later flight; or
• Become available for collection.

Ask airline or baggage-service staff:

• Where is my bag currently?
• Has it been retagged to my new flight?
• Do I need to collect and recheck it?
• If I stay overnight, can I access my baggage?

Airport procedures vary, especially on international journeys involving customs and immigration.

If your bag does not arrive

Report the problem to the airline's baggage desk before leaving the arrivals area whenever possible.

Keep:

• The baggage tag
• Your boarding pass
• The Property Irregularity Report or equivalent baggage report
• Receipts for essential replacement items
• Photos of damaged baggage if relevant

EU guidance states that written claims concerning delayed checked baggage should generally be submitted within 21 days after the baggage is returned to you. Different legal regimes and contractual rules may apply elsewhere.

Keep Receipts for Everything

Documentation can make the difference between a successful reimbursement request and a rejected one.

During a major disruption, save:

• Boarding passes
• Original booking confirmation
• Rebooking confirmation
• Cancellation emails
• Airline app screenshots
• Photos of airport departure boards
• Meal receipts
• Hotel receipts
• Taxi, train or bus receipts
• Replacement-flight receipts
• Baggage reports
• Written communication with airline staff

When EU care obligations apply and the airline fails to provide assistance, necessary, reasonable and appropriate expenses may be reimbursable. Keeping receipts is therefore essential.

Ask the Airline to Confirm the Reason for the Delay

If compensation may depend on the cause, request written confirmation of why the flight was delayed or cancelled.

Useful information includes:

• Flight number
• Date
• Original scheduled time
• Actual departure time
• Actual arrival time
• Official cause of disruption

A vague announcement saying "operational reasons" may not provide enough information to determine whether compensation applies.

Using Airline Apps and Airport Notifications

Your smartphone is one of the most useful tools during an airport disruption.

Before your trip:

• Install the airline's official app.
• Log in before arriving at the airport.
• Add your booking to the app.
• Enable notifications.
• Save your booking reference offline.
• Download boarding passes.
• Keep the airline's customer-service contact details.

Also check the airport's official website or app because airport gate information and airline rebooking information serve different purposes.

When Should You Contact the Airline and When Should You Contact Your Travel Agency?

Contact the operating airline when:

• Your flight has just been cancelled.
• You are stranded at the airport.
• You need immediate rebooking.
• You missed a protected connection.
• You need meal or hotel assistance.
• You need information about checked baggage.
• You are making a passenger-rights claim against the operating carrier.

Contact your travel agency or booking agent when:

• The airline directs you back to the ticketing agent.
• A voluntary ticket change is required.
• Your itinerary involves complicated ticketing rules.
• You need help reorganizing hotels, tours or transfers booked through the agency.
• The agency manages the reservation and needs to reissue or modify the ticket.
• You booked a package holiday and other parts of the package are affected.

If the disruption is happening right now at the airport, contacting the operating airline first is usually the most practical way to deal with immediate transportation and care.

If you booked through a professional travel agency, the agent can also be extremely useful for checking alternative flights while airport customer-service desks are crowded.

Do Not Accidentally Cancel Your Own Rights

During a cancellation, airlines frequently display options such as:

• Accept new flight
• Request voucher
• Cancel trip
• Request refund

Do not select an option simply to see what happens.

Choosing a refund or voluntarily cancelling a booking can affect the airline's remaining obligation to transport you.

Understand the consequences before confirming your selection.

How to Reduce the Risk of Missing a Connection

You cannot eliminate disruptions, but good planning significantly reduces the consequences.

Prefer one protected ticket

Whenever practical, book connecting flights under the same reservation rather than combining unrelated tickets.

Avoid extremely short connections

A connection that technically satisfies the airport's minimum connecting time can still be stressful.

A longer connection provides extra protection against:

• Departure delays
• Long taxi times
• Immigration
• Security checks
• Terminal transfers
• Remote-gate bus transfers

Leave additional time for self-transfers

If you deliberately book separate tickets, consider the possibility that you may need to:

• Enter the country;
• Collect baggage;
• Change terminals;
• Check in again;
• Pass security again; and
• Complete immigration procedures.

In some cases, an overnight connection is safer than attempting a tight self-transfer.

Avoid the final flight of the day when timing is critical

If an early flight is cancelled, several alternatives may remain.

If the last flight is cancelled, an overnight stay may be unavoidable.

Build buffer time before cruises, weddings and major events

Do not plan to land two hours before an important event or just before your cruise ship departs.

For high-value or time-critical travel, arriving a day earlier can be much cheaper than dealing with the consequences of a major disruption.

Check weather and operational conditions

If severe weather is forecast, airlines sometimes issue travel waivers allowing passengers to change flights before the disruption happens.

Changing proactively can be much easier than competing with hundreds of passengers for seats after cancellations begin.

What If the Airline Offers a Voucher Instead of Money?

Read the conditions carefully before accepting.

Check:

• Expiration date
• Whether the voucher is transferable
• Which airlines can accept it
• Whether it can be used for taxes and fees
• Whether accepting it affects your refund rights

If you are legally entitled to a monetary refund, you should understand that right before voluntarily choosing a travel voucher instead.

What If You Bought a New Ticket Yourself?

Buying your own replacement flight may sometimes be necessary, but it can also create reimbursement disputes.

Before purchasing:

1. Ask the original airline to reroute you.
2. Record the alternatives offered.
3. Take screenshots if no reasonable alternative is available.
4. Ask whether the airline authorizes self-booking.
5. Keep all receipts.

Passenger-rights rules may provide reimbursement in certain situations when an airline fails to meet its rerouting obligations, but never assume that any replacement ticket at any price will automatically be reimbursed.

Flight Disruption Emergency Checklist

If your journey goes wrong, use this checklist:

• ☐ Check the airline app.
• ☐ Screenshot the delay or cancellation.
• ☐ Check whether you were automatically rebooked.
• ☐ Verify all remaining connecting flights.
• ☐ Check your baggage status.
• ☐ Contact the operating airline.
• ☐ Ask about earlier alternative flights.
• ☐ Ask about meals if the wait becomes long.
• ☐ Ask about accommodation for an overnight disruption.
• ☐ Ask about airport-to-hotel transportation.
• ☐ Keep every receipt.
• ☐ Keep your original boarding pass and baggage tag.
• ☐ Record the reason given for the disruption.
• ☐ Record your actual final arrival time.
• ☐ Notify hotels, transfers or tour operators if necessary.
• ☐ Contact your travel insurer if significant costs are developing.
• ☐ Submit eligible airline claims after the journey.

Frequently Asked Questions

Does an airline have to compensate me every time my flight is delayed?

No. Compensation depends on the passenger-rights laws covering the journey, the length of the delay, the cause and other circumstances. Meals or rebooking can apply even when cash compensation does not.

What happens if my first flight is delayed and I miss my connection?

If the flights are part of the same protected reservation, the airline will normally need to arrange onward transportation according to the applicable rules. Separate-ticket self-transfers have much less protection.

Does the airline have to provide a hotel after a cancellation?

Not worldwide. Under EU261 and similar regimes, accommodation can be required when eligible passengers must wait overnight for rerouting. Other countries and airlines have different rules.

Can I choose a refund instead of another flight?

Often yes when the airline cancels the flight, although the exact right depends on the applicable law. Remember that accepting a refund generally means you are choosing not to continue transportation under the affected ticket.

Can I receive EU261 compensation for bad weather?

Severe weather can qualify as an extraordinary circumstance, which may remove the right to financial compensation. Other rights such as care, rerouting or reimbursement may still exist.

What happens if I miss a flight because security took too long?

The airline may not be responsible. Under EU guidance, missing a connecting flight because of security delays does not automatically create a right to EU261 compensation.

Should I contact the airline or the travel agency?

For an active operational disruption at the airport, contact the operating airline first. For ticket reissuance, voluntary changes, complicated reservations or other travel services booked through an agent, your travel agency may also need to become involved.

Should I keep meal and hotel receipts?

Yes. Always keep receipts for reasonable expenses caused by a disruption. They may be required for reimbursement from an airline or travel insurer.

Can travel insurance cover a missed connection?

Some policies include missed-connection or trip-delay benefits, but coverage depends on the policy, the reason for the disruption and minimum delay requirements.

Final Advice

Flight delays and cancellations are frustrating, but making decisions calmly can save both time and money.

Start by determining whether your journey is simply delayed, officially cancelled or affected by a missed connection. Then check whether your flights are part of one reservation, find out what alternative transportation the airline is offering and understand your rights before requesting a refund or buying another ticket.

For travelers in Europe, EU261 provides significant protection covering assistance, rerouting, refunds and, in qualifying circumstances, financial compensation. However, even under EU rules, compensation is not automatic and should not be confused with the airline's separate responsibilities for care and transportation.

Outside Europe, rules can be very different. Always check the passenger-rights legislation of the country concerned together with the operating airline's customer-service policies.

Most importantly, document everything. Keep your boarding passes, screenshots, receipts, baggage records and airline messages until the entire journey — including any compensation, insurance or reimbursement claim — has been resolved.

A disrupted flight may be outside your control, but being prepared can prevent a delay from becoming a much bigger travel problem.

Travel Tip

Before every international trip, save your airline booking reference, travel-insurance policy number, passport copy, hotel details and emergency contact information somewhere you can access offline. If your connection disappears or your phone temporarily loses internet access, you will still have the information needed to reorganize your journey.
